How to add your Lynkle email signature to Outlook: setup guide

Add your Lynkle email signature to Outlook on Windows, Mac, or the web. Follow the setup steps and learn how to update it later.

To add your Lynkle email signature to Outlook, save and copy it in Lynkle, then paste it into Outlook's signature editor. The settings menu depends on which version of Outlook you use.

Step 1: Create and copy your Lynkle signature

You need a public Lynkle digital business card and Lynkle Pro or Teams to save and install a branded signature.

  1. Open your Lynkle account, find the card you want to use, and select Email signature.
  2. Choose a template and the contact details to show. Use your card's colors or choose a different background, border, and shadow. Check the preview as you make changes.
  3. Select Create signature the first time. When editing an existing signature, select Save changes or Update signature, depending on the changes you made.
  4. Select Copy signature. If you see Copy saved signature, your card has changed since the signature was saved. Update the signature first if you want those changes included.

Step 2: Open Outlook's signature settings

  • New Outlook for Windows and Outlook on the web: Open Settings, then Accounts > Signatures.
  • Classic Outlook for Windows: Open File > Options > Mail > Signatures.
  • Outlook for Mac: Open Outlook > Settings > Signatures. Older versions may call Settings “Preferences.”

Step 3: Paste your signature

  1. Select your email account if Outlook asks which account to use.
  2. Select Add signature, New, or the + button, depending on your version. Give the signature a name.
  3. Paste the signature from Lynkle into the editor with Ctrl+V on Windows or Cmd+V on Mac.
  4. Check that the image appears and links to your public Lynkle card.

Use a normal paste so the signature keeps its image and link. If the paste looks wrong, remove it, copy the saved signature from Lynkle again, and paste directly into the editor. Avoid “paste without formatting.”

Step 4: Choose defaults and save

Choose whether Outlook should add the signature to new messages and replies or forwards. In new Outlook and Outlook on the web, save your changes. In classic Outlook, confirm with OK. On Mac, choose the signature for your account and close the settings window.

Start a new message and send a sample email to check the image and card link. If you use more than one account, device, or Outlook version, check the signature in each place you send mail.

Updating your signature later

Outlook keeps the version you pasted. After changing your card or signature design, save the updated signature in Lynkle, then copy and paste it into Outlook again. Previously sent emails are not rewritten.
