Email signatures for your whole team.

Design one branded signature for your team's Lynkle cards, then deploy it to Gmail with Google Workspace or to Outlook with Microsoft 365. Every person keeps their own details.

One design.
Every inbox.

Team email signatures are built from the Lynkle digital business cards your team already uses, so names, photos, and contact details stay accurate.

  1. Connect your email provider

A Google Workspace super administrator or Microsoft 365 Global Administrator connects your organization. Connecting does not change any existing signatures.

  2. Customize one design

Select up to 100 existing cards at a time, then choose a layout, background, and border. Brand and Accent colors come from each card.

  3. Review and deploy

Preview each person's signature, confirm their mailbox, then deploy to Gmail or publish to Outlook. Every card shows its own result.

Works where your
team already emails.

No service accounts, private keys, or app registrations to set up. Your administrator approves access, and Lynkle handles the rest.

Google Workspace

Deployed straight to Gmail

  • Authorize Lynkle once in Google Admin with domain-wide delegation
  • Lynkle verifies each primary mailbox before deploying its signature
  • Each card shows Deployed as soon as its Gmail signature is live
  • Remove signatures later and Lynkle clears the ones it deployed

Microsoft 365

Inserted by the Lynkle Outlook add-in

  • Connect with a Global Administrator and approve add-in sign-in
  • Deploy the add-in to chosen users from the Microsoft 365 admin center
  • Outlook inserts each person's signature in new messages, replies, and forwards
  • Works in Outlook on the web, new Outlook for Windows, and recent Windows and Mac versions

Everyone keeps their own details

One shared design, with each signature using that card's name, photo, and contact details. Choose which details to show for everyone, and each signature opens that person's digital business card.

Update the whole team at once

Rebranding or launching a campaign? Change the design and publish it again. Team members never need to copy, paste, or touch their email settings.

Offboarding built in

Making a card private or deleting it stops signature management but leaves its Gmail signature in place. Use Remove signatures before deleting cards to clear their Gmail signatures.

Frequently asked questions

Email signature management lets an administrator design, deploy, and update consistent email signatures for everyone in an organization from one place, instead of asking each person to set up their own. Signature management tools usually connect to Google Workspace or Microsoft 365 so signatures reach each mailbox without manual copying and pasting.

Gmail signatures are set per mailbox, so personalized signatures for a whole company usually need a tool that updates each mailbox through the Gmail API. With Lynkle Teams, a Google Workspace super administrator authorizes Lynkle once in Google Admin and connects the organization. You then customize one design and deploy each person's signature directly to their primary Gmail mailbox.

A Microsoft 365 Global Administrator connects your organization to Lynkle, approves sign-in for the Lynkle Outlook add-in, and deploys the add-in to chosen users from the Microsoft 365 admin center. After you publish signatures in Lynkle, Outlook inserts each person's signature in new messages, replies, and forwards. It works in Outlook on the web, new Outlook for Windows, and recent Windows and Mac versions, but not Outlook mobile.

No. Each signature is created from an existing public Lynkle card managed by your team, and an administrator can own those cards. Each signature still uses that person's own name, photo, and contact details. Pending cards and invitations are not included until the card exists.

Connecting a provider and previewing designs do not change anything. When you deploy to Gmail, Lynkle replaces the current signature on each selected primary mailbox. In Outlook, the add-in replaces the signature area of new messages. Messages that were already sent are never changed.
